How Grant Checker handles your website enquiry and property information.

Last updated: 24 October 2026 · Version 2026-10-24-v1

Who handles your information?

Grant Checker Ltd is responsible for the information you provide to our enquiry service. Company number: 17486162. Registered address: 66 Paul Street, London, EC2A 4NA. Contact us at info@grantchecker.uk or 0800 994 9955.

What we collect

We collect the details you choose to submit: your name, contact details, property address, heating and property information, answers about previous funding, optional property photos, and your contact and installer-sharing preferences. Where you ask us to help with landlord permission, you may also provide a landlord’s or letting agency’s name and contact details.

Photos are optional. Please do not upload identity documents, financial paperwork, images of people or information about your health. You can submit without photos or leave optional questions unanswered. We may be unable to respond if you do not provide the required contact details.

How and why we use it

We use your information to respond to your request, review preliminary property suitability, clarify answers and explain the next steps. We may use property information from the public Energy Performance Certificate register to support a team review. An EPC or our preliminary review does not confirm grant eligibility or installation suitability. An installer makes the technical assessment.

We rely on legitimate interests for handling enquiries, reviewing property information, arranging the introductions you request, contacting a landlord or agent where you ask for help, and protecting the service from misuse. Our interests are providing a requested property-checking and referral service and operating it securely. We limit the information we use, follow your contact choices and consider your privacy and reasonable expectations. You may object by contacting us.

These forms are for your enquiry, not a subscription to unrelated marketing. We do not make a solely automated eligibility decision.

Your choice about installer introductions

Grant Checker reviews your enquiry first. If you choose “Contact me first”, we speak with you before passing your enquiry to an installer. If you request an introduction, we share relevant contact details, property answers and helpful photos with a suitable MCS-certified installer after review and in line with your preference. We can tell you which installer will receive them. Submitting a form does not commit you to an installation.

The installer is separately responsible for its survey, quotation, grant application and installation records under its own privacy notice. We do not forward enquiries automatically to installers.

Landlord and letting-agent information

Only provide contact information you know and are entitled to share. We follow your choice about whether to contact the landlord or agent or speak with you first. When contacting someone whose details you supplied, we explain who provided the details, why we are contacting them and where to find this privacy notice. Landlords and agents can contact us to correct their details or object.

Storage, security and service providers

Hostinger provides our website hosting and business email. Enquiries and optional photos are delivered to our restricted-access info@grantchecker.uk inbox. We are not currently using a separate CRM for website enquiries. A temporary delivery copy is kept outside the public website folder so a failed email can be retried. Photos are processed to remove embedded metadata. Security checks use a hashed network address to limit spam; Hostinger may also keep connection and security logs.

Our website hosting was selected in the United Kingdom. This does not mean all email, support or backup processing occurs in the UK. Hostinger describes its processing locations, subprocessors and transfer arrangements in its Data Processing Addendum and privacy policy. Where information is transferred outside the UK, applicable adequacy arrangements or contractual safeguards are required. Contact us for information about safeguards relevant to your enquiry.

We may disclose limited information where necessary to comply with a legal obligation or handle a legal claim. We do not sell your enquiry information.

How long we keep it

For enquiries that do not proceed, we delete enquiry emails and attached photos six months after our last contact. This is a manual mailbox review, not an automatic inbox deletion. For an active referral, we retain information while providing the requested assistance, then apply the same six-month period after our final contact. We may retain limited records longer where needed for an unresolved complaint, a legal obligation or a legal claim, recording the reason and reviewing the need.

The temporary website copy is automatically deleted 30 days after successful email delivery. Undelivered enquiries are retained for investigation and reviewed rather than silently discarded; the six-month rule also applies when an enquiry is closed. Provider backups may persist until their normal replacement cycle. Installer records follow the installer’s own retention policy.

Your rights and how to contact us

You can ask to access or correct your information, request deletion or restriction, and object to processing based on legitimate interests. Portability applies in certain circumstances. These rights depend on the circumstances and lawful basis. You can change your contact or sharing preference by emailing info@grantchecker.uk. If information has already been shared, we can identify the installer so you can also contact them.

If you have a concern, please contact us first so we can investigate. You can also complain to the Information Commissioner’s Office.

Cookies and external resources

This website does not add analytics or marketing cookies. The forms use a temporary request token held in page memory and do not save your answers in browser storage. Fonts are requested from Google Fonts and icons from jsDelivr; those providers receive connection information such as your IP address when your browser requests those resources. Their processing may take place outside the UK. Hostinger may use infrastructure needed to deliver and secure the website.
